Notification process and “Time windows”

Along with the transport order sent to the forwarder, the loading and unloading timeframes are set. This is done with the unique SOOT system functionality which supports multi-layer scheduling of the car provision time and potential client delivery times.

  • First and foremost, the SOOT system allows you to set very flexible work schedules for the warehouses and hubs as well as their capacity
  • Further, for each order you can define the loading and unloading timeframes per hub
  • The forwarder can give you a specific time window, not booked so far, during which they will provide the car considering the timeframes set in the preceding two stages

Multi-layer planning involves the following parties:

  • Sales department staff
  • Logistics officers and forwarding department staff
  • Forwarders and carriers and
  • Clients (suppliers and offtakers)

The duty to provide the indispensable notification data is shifted to the forwarders and carriers, whereby they are allowed to change the same until arrival at the plant gate.

What benefits did SOOT bring to our clients in the area of booking “time windows” and notification:

  • We practically got rid of cars piling up at plant gates
  • We markedly improved loading and unloading scheduling
  • We shortened the loading and unloading times by even 3 hours
  • Thanks to logging car provision delays from the scheduled notification on the part of the forwarder, today from 60% to 80% of cars arrive on time
  • We reduced demurrage charges collected by forwarders, that is the costs of car stopover in front of the gate and gate queuing
  • We cut down the number of phone, fax and e-mail contacts with forwarders dedicated to agreeing on the notification data and car provision dates by 80% even
  • We made the recording of the fact of car provision by security guards easier, while the handling time at the gate was shortened to the indispensable minimum (below 1 minute)
  • Thanks to booking “time windows” for both Franco- and Loco-like transports, and also for the autonomous deliveries of raw materials by suppliers, the time indispensable for agreeing on such transports was reduced even by 50%
  • We reduced practically to zero the number of communication mistakes
  • We improved on time delivery (OTD) ratios considerably
